Phundex User Guide- Administrators

  • An Administrator is the only person able to Register their Company to Phundex Platform. 
  • They can subscribe to the Phundex Plan they wish to select, and manage any changes to the company plan. 
  • They can manage their personal profile. 
  • Manage their personal security settings. This could involve for example: changing their password; and selecting or de-selecting 2-factor authentication. 
  • Taking a Tour (this can be taken at any time by selecting "take a tour" under the Profile options). 
  • View Overview Dashboard (this is the main dashboard you will see when logging on to the Phundex Platform). 
  • Appoint another administrator to the Phundex Platform (we recommend that all companies have a minimum of two administrators to ensure backup):
    • View overall Dashboard
    • View Pathway Dashboard
    • View Network Dashboard
    • View Platform Settings (this is where the Plans are managed). 
  • Create a Network by inviting Team Members (External and Internal) to their Network. Network members are members who: you have invited to your team (whether internal or external); and who use one of your subscription licenses, as long as they are an active member of your Network.  
  • When new members are invited to the Network, the Administrator selects whether the new member is joining as an Administrator, Manager or Team Member. 
  • The Administrator can change Network user roles to and from Administrator, Manager and Team Member. 
  • Activate/Deactivate Network Team Members (enabling management of subscription usage). 
  • An Administrator also has all Manager and Team member permissions and functionalities. 
  • All  Manager functionalities:
    1. View Pathway Dashboard
    2. Create new Pathways (Phundex Template or Create new Pathway)
    3. Create Stages
    4. Create/Assign Tasks
    5. Create Task Forms
    6. Data Room
      • View Transactions
      • Upload Documents
      • View doc permissions, status, audit history



I'm an Admin where do I start?


If you've just joined the Phundex Platform, there are a couple of easy steps to start with.  As an Administrator, you will want to select the best Phundex Plan for your organisation.  If you choose a monthly plan, you'll have a 7 day free trial period.  If you choose an annual plan, you will have a 15% annual saving and receive a 1 month trial period free.


Once you've selected your plan, you can start building your Network.  The Network gives access permission to use the licenses in your plan.  Remember you can change a person's Network status from Active to Inactive by toggling the button.


Once you've set up your Network, you can ask your Managers to start setting up their own Pathways.  The Phundex Pathway Template Suite gives you access to a series of Transaction and Process Pathways to get you started.  These can be customized in any way you like once you've selected one of the Phundex Pathway Templates.  Or, you can start your own Pathway from scratch.

  • Manage their Personal Profile including uploading a photo. 
  • Manage security settings eg. password and 2-factor authentication. 
  • Ability to Take a Tour- you can take a Tour at any time by selecting 'Take A Tour' under your Profile.
  • View Overview Dashboard.
  • All Manager functionalities:
    1. View Pathway Dashboard.
    2. Create Pathways (either from a Phundex template or create a new Pathway).
    3. Create Stages.
    4. Create Tasks.
    5. Create Task Forms.
    6. Assign Tasks to Team Members.
      • Choose whether the Team member has Contributor or Approver status.
    7. Data Room:
      • View Transactions.
      • Upload Document.
      • View doc permissions, status, audit history.
  • Add Team Members to a Transaction including Team member permissions:
    1. Participant (Edit access - always Client Admin/Manager).
    2. Published View (only able to see documents when they are signed off as published). 
  • All Team Member functionalities:
    • view Overview Dashboard including all tasks.
    • Perform tasks assigned to Team Member.
    • make comments in the Task status section.
    • Mark Tasks as Complete.
    • Change Task Status back to incomplete if required.

Team Member


A Team Member Can:

  • Register to the Phundex Platform. 
  • See their overall transaction dashboard including all tasks.
  • Complete tasks assigned to them.
  • Make comments on any tasks assigned to them in the task overview section.
  • Change task status to not complete if necessary.


What Can a Guest Do? 

  • A guest may be asked to provide information by way of an email from the Phundex platform. 
  • However, a guest has no access to Phundex and does not require a subscription to complete the task form or document related task.
  • The only access a guest has is to the task they have been assigned. Typically that will mean they receive an email with a task form or document they need to complete.
